Advance and balance
The deposit a traveller pays to confirm a booking, and the remaining amount due before departure.
What is Advance and balance?
Group trips are usually sold on an advance to confirm the seat and a balance due by a cut-off date before departure. The cut-off exists because hotels, transport and permits must be paid for before the group travels, whether or not every traveller has settled up.
Dues go wrong when the accounts sheet and the ops roster disagree about who has paid. The captain finds out at the pickup point, which is the worst place to have that conversation.
On a live trip
Track advance, balance and a payment status per traveller on the same roster ops uses, and resolve every unpaid balance before the departure date, not on it.
