Compare
Rahi vs running trips on WhatsApp and Excel
An honest comparison: what WhatsApp and spreadsheets do well, where they break on a 40-person trip, and when you still don't need software.
Updated
What WhatsApp and spreadsheets do well
- They are free and every traveller already has them.
- No training, no login, no app to explain.
- Great for the social side of a trip: introductions, banter and photos.
- A spreadsheet is flexible enough for any one-off list.
Where they break on a 40-person trip
- The one message about a changed pickup is buried under many others.
- Strangers on a group departure can see each other's phone numbers.
- There is no named headcount and no SOS path to your office.
- Rosters and rooming lists drift out of sync after every change.
- ID documents end up in chats and personal galleries.

When is WhatsApp enough?
WhatsApp and a spreadsheet are enough for small trips where everyone already knows each other, for one-off groups you will not run again, and for trips without overnight stays, transfers or safety risks. If you run a handful of departures a year with friends-of-friends, you probably do not need software.
It stops being enough when you run several departures at once, travellers are strangers to each other, the trip involves transfers, hotels or remote locations, or you are responsible for minors.
Many operators will keep a WhatsApp group for the social side. Rahi keeps the logistics out of it. Read how to run a group trip without WhatsApp chaos.
