Cancellation policy
The terms that say how much a traveller is refunded if they cancel, usually on a sliding scale by days before departure.
What is Cancellation policy?
Operators commit money to hotels, transport and permits in advance, so cancellation terms pass some of that risk to the traveller: a full refund far out, a partial refund closer in, no refund inside the final days. Hotel and airline terms the operator is bound by shape the scale.
A cancellation also changes the trip: one fewer pax on the manifest, a twin room that becomes a single, a rooming list to redo.
On a live trip
When a traveller cancels, update the roster first so the expected count, rooming list and dues all change together, then handle the refund.
