What is Rahi?

Rahi is group trip operations software for companies that run group trips in India, including tour operators, trek organisers and corporate or college trip agencies. Operators manage itinerary, rooming, headcount, payment status and safety from a web dashboard, and every traveller gets a mobile app showing what's next on their trip.

Who is Rahi for?

Rahi is for businesses that run group departures, not individual travellers. That includes trek operators running weekend batches, group tour operators with many concurrent departures, agencies handling corporate offsites, college and school trip organisers, and Indian operators taking groups to Dubai, Thailand, Bali or Vietnam.

How is Rahi different from a travel CRM?

A travel CRM helps you sell a trip: leads, quotes and bookings. Rahi helps you run the trip after it's sold: who is on which bus, in which room, who has checked in, who still owes money and who pressed SOS. Rahi is designed to sit alongside the CRM or booking tool you already use.

When is Rahi launching?

Rahi is in final development and onboarding early operators before public launch. If you run group trips in India, book a demo and we'll show you the product and discuss joining as an early operator. We'll publish updates on rahi.club.

Running trips

Can Rahi replace our WhatsApp group?

Rahi replaces the operational part of a trip WhatsApp group: itinerary, plan changes, room details, pickup times and safety alerts. Announcements arrive as push notifications and pinned notices instead of getting buried in chat. Many operators may still keep a community chat for fun; Rahi keeps the logistics out of it.

How do travellers join a trip?

Your ops team adds travellers to a departure manually or by CSV import, then sends invites by SMS or WhatsApp link. A traveller taps the link, verifies their phone number with an OTP and lands directly on their trip. The dashboard shows who has joined and who still hasn't.

How does the itinerary builder work?

You create a reusable trip template with a day-wise timeline, places, times, the stay for each night and transport legs. Each departure is created from the template by choosing dates. When you edit a live itinerary, travellers get a notification describing what changed, so nobody misses a moved pickup.

How do I make a rooming list in Rahi?

Assign a hotel to each night of the itinerary, then allocate each traveller to a room. Each traveller sees their own hotel and room in the app's Today view, and your team sees the full allocation per night. Changes made in the dashboard reach travellers immediately, not after another forwarded spreadsheet.

How do headcounts and check-ins work?

For any itinerary item, such as a 7:00 AM bus, the captain runs a check-in and sees a live count like "32/35 boarded" with the names of who is missing. Travellers can check themselves in from the app. Ops managers can see check-in status for every active departure from the dashboard.

Can I run many departures at the same time?

Yes. Rahi is built for operators running many concurrent departures, not one trip at a time. Each departure has its own roster, itinerary, rooming and captain, created from a reusable template, and your ops team can see all active and upcoming departures from one dashboard.

What roles can my team have?

Rahi has three operator roles. A Company Admin manages billing, staff and templates. An Ops Manager creates departures, rosters, itineraries and rooming. A Trip Captain is the on-ground lead who runs headcounts, sends announcements and responds to SOS using the mobile app in captain mode.

Does Rahi support international group tours?

Yes. Rahi is built for Indian operators running outbound groups as well as domestic trips. All itinerary times are stored once and shown in the destination's local time zone, so a Bangkok pickup shows Bangkok time. Travellers can upload passports in the app before departure for the operator to review.

Does Rahi work offline on treks?

Not at launch. The traveller app needs a network connection to load updates, which matters on high-altitude treks. Offline access to the itinerary and documents is on our roadmap. Until then, trek leaders should brief travellers on the plan before the group enters low-network zones.

Travellers

Do travellers have to pay for the app?

No. The traveller app is free for travellers. The operator company pays for Rahi. Travellers join from an invite link sent by SMS or WhatsApp and log in with their phone number using a one-time password, so there is no account to create or password to remember.

Can other travellers see my phone number?

No. Traveller phone numbers are visible only to the operator's staff, never to other travellers on the trip. This is one of the main differences from a WhatsApp group, where every member's number is visible to every other member, including strangers on a group departure.

Safety and privacy

How does live location tracking work, and is it private?

Location is shared only during the trip window, travellers can pause it at any time, it turns off automatically when the trip ends, and location history is deleted within 7 days of trip end. Only authorised operator staff see the live map; travellers' locations are not a permanent record.

What happens when a traveller presses SOS?

SOS needs two taps and a confirmation so it cannot fire from a pocket. Once confirmed, the trip captain and your ops dashboard receive the alert with the traveller's location, and the traveller's emergency contact receives the location by SMS. Rahi supports your emergency process; it does not replace local emergency services.

How are passport and ID copies stored?

Travellers upload their own documents in the app. Documents are private by default: only the traveller and operator staff you authorise can view them. Files are encrypted at rest and opened only through short-lived signed links, so a forwarded link stops working. Other travellers can never see them.

Does Rahi work for school and college trips with minors?

Yes. For trips with minors, Rahi captures guardian consent, and precise location is visible to staff only during itinerary hours. Captains still get headcounts and SOS at every stop. Operators remain responsible for their own consent forms and school agreements; Rahi provides the tooling.

Is Rahi compliant with India's DPDP Act?

Rahi is designed around the Digital Personal Data Protection Act, 2023: consent notice at signup, purpose-limited data use, trip-scoped location and erasure on request. Responsibility for compliance is shared between the operator and Rahi; see our Security page for how roles and data handling work.

Payments and pricing

Can Rahi collect payments from travellers?

Not at launch. Rahi tracks payments: for each traveller you record the package price, amount paid and balance due, and travellers see their own status in the app. In-app payment collection is on the roadmap for a later release. Until then, keep collecting through your existing bank, UPI or gateway.

How much does Rahi cost?

Rahi pricing depends on how many departures and travellers you run, and the traveller app is always free for travellers. We are not publishing prices before launch; early operators get terms agreed directly with us. Book a demo or email hello@rahi.club to talk about your volumes.
