Group trip packing list template
Two columns most packing lists skip: is it mandatory, and does the operator provide it. Those two answer most pre-trip questions.

What each column is for
- Category
- Documents, health, clothing, gear, money, personal. Travellers pack by category, so group the list that way.
- Item
- Specific enough to buy: "daypack 20 to 30 L", not "bag".
- Mandatory
- Separates the items a traveller cannot join without from nice-to-haves. Captains check mandatory items at pickup.
- Provided by operator
- Sleeping bags, group first aid, permits. Stops travellers buying what you already carry.
- Notes
- Why the item matters: night temperatures, no UPI at camps, carry your waste down.
How to use it
Download the CSV and open it in Excel or Google Sheets.
Delete the rows that do not apply to your trip type and add destination-specific items.
Mark what is mandatory and what you provide; be strict about mandatory.
Share the list two weeks before departure and again three days before.
Have captains check mandatory documents and footwear at the pickup point.
Mistakes this template prevents
- One generic list for a Himalayan trek and a Goa offsite.
- Not saying what the operator provides, so half the group buys sleeping bags.
- Sending the list the night before departure.
- Listing items without quantities or sizes.
Questions about this template
What should be on a trek packing list?
Government ID, personal medicines, warm layers, rain protection, broken-in shoes with grip, a 20 to 30 litre daypack, a 1 litre water bottle, a headlamp, sunscreen, cash for places without network, and whatever the operator does not provide, which is usually the sleeping bag question. Say clearly what is provided.
Can travellers add their own items in Rahi?
Yes. The traveller app shows the operator's checklist and lets each traveller add personal items, with the operator's mandatory items marked.
